Why Every Traveling Group Should Elect a Group Leader

Planning a group trip is an exciting venture filled with the promise of many memorable moments. Whether it's a multi-generational family vacation, a friends' reunion, or a corporate retreat, group travel has the potential to be incredibly rewarding. However, it can also be a logistical minefield if not approached strategically.

As a travel advisor, one of the most important recommendations I make to clients organizing group travel is this: elect a group leader. It may seem like a small decision, but choosing someone to serve as the central point of contact can significantly improve the planning process and ensure a smoother travel experience for everyone involved.


The group leader should be chosen carefully, and with the acknowledgement that it may not be as simple as a walk in the park. Let's look at some of the responsibilities the group leader will have, along with the best practices for choosing the right person.


Centralized Communication

One of the biggest challenges in group travel planning is communication. When ten or twenty people are all emailing, texting, and messaging separately with questions, ideas, or concerns, important information can easily get lost.


At the beginning of the planning process, the group leader serves as the central communication hub. They collect input from the group and then communicate directly with me. This streamlines the process and ensures everyone receives consistent, accurate information.


Instead of fielding the same question multiple times from different travelers, I can provide one detailed answer to the group leader, who can then distribute it. This saves time and avoids confusion.

Trying to make group decisions by committee is notoriously difficult. Choosing a destination, resort, daily itinerary, or even a dinner reservation can result in endless back-and-forth that delays planning.

When working with large groups, it’s helpful to understand what the group as a whole wants: luxury accommodations or budget-friendly options? Adventurous excursions or relaxation-focused days? Cultural experiences or beach lounging?


The group leader serves as the spokesperson, gathering input from members and summarizing preferences. This makes it easier for me to customize the experience to suit everyone’s tastes, without needing to poll each person individually. That being said, there will usually be several room tiers to choose from so that everyone is happy!

Once the trip begins, the group leader plays a key role in making sure everyone is where they need to be. From wake-up calls and airport transfers to dinner reservations and tour departures, someone needs to manage the schedule.


This doesn’t mean barking orders. A good group leader motivates with positivity and clarity. They remind people of daily plans, share timing updates, and help manage the group’s energy and flow. Even with pre-trip organization, it’s easy for travelers to lose track of time while on vacation. A proactive group leader keeps everything running smoothly.


Encourages Group Participation

Some travelers are natural planners, while others are more passive participants. A group leader encourages engagement from all members, ensuring that everyone has a voice and feels included.


They can collect ideas, organize votes on optional activities, and remind the group of upcoming decisions or deadlines. They might even coordinate a group t-shirt order, create a shared photo album, or plan a group dinner with a surprise theme.


Participation adds to the overall enjoyment of the trip and creates a stronger bond among group members.

Some groups naturally gravitate toward one person as the unofficial leader, while others may benefit from assigning someone clearly. In some cases, leadership duties can even be shared between two people.


My Relationship with the Group Leader

Group travel often involves coordinating flights, transportation, lodging, excursions, meals, and private events. While I handle most of the logistics, I rely on the group leader to work alongside me to ensure that everyone receives and understands the information sent to them.


Large groups usually means lots of questions between the group meeting and departure. The group leader is not responsible for answering questions on the details of the destination, accommodation, excursions, etc. I provide a custom FAQ page for the group, and will answer all questions emailed to me.
